The Boeing Company’s Law Department is seeking a Legal Executive Assistant to join their dynamic team. This person will support a Vice President as well as other attorney/executives within the Law and Global Compliance team and provide administrative support in a variety of legal practice areas. This position is based in Boeing’s new corporate headquarters in Arlington, Virginia (Long Bridge).

The successful candidate will have demonstrated experience working under limited supervision and perform multiple work assignments concurrently, often within a short period of time while maintaining accuracy and attention to detail. The individual will also work well with others, clearly communicating requirements, expectations, and deadlines; asking questions to obtain and share relevant information.

Position Responsibilities:

  • Manage calendars, coordinate meetings – in-person, virtual, and conferences across multiple time zones

  • Generate, revise, proofread letters, documents, presentations, and correspondence

  • Triage and organize all forms of communication as desired including incoming calls, messages, and correspondence received

  • Act as liaison and facilitate communications between the law department and clients, assess urgency of situation and determine appropriate action

  • Handle appropriately communications of a sensitive and confidential nature

  • Coordinate and process domestic and international business travel arrangements

  • Monitor designated business traveler’s logistics and generate expense reports

  • Reconcile corporate credit card charges to ensure timely and accurate reimbursement

  • Review, assess, prioritize monitor status of pending items, follow up, and keep attorney/staff informed

  • Maintain files and correspondence using accepted legal office practices and company record keeping systems and procedures

  • Process invoices, generate reports using spreadsheets, and internal legal matter management system

  • Coordinate with the appropriate focal(s) to support the acquisition and maintenance of resources

  • Order and maintain office supplies

  • Provide back-up assistance to other Legal Administrators as needed

The ideal candidate must:

  • Be highly detail-oriented with exceptional organizational skills

  • Be strong at prioritizing activities and performing multiple tasks while maintaining quality, speed and accuracy

  • Be experienced working under pressure and multitasking in a fast-paced environment

  • Exhibit a high degree of professionalism and patience in coordinating various responsibilities and clients

  • Have experience working independently as well as in a teaming environment

  • Have excellent judgment

This position allows telecommuting. The selected candidate will be required to perform some work onsite at one of the listed location options. A majority of the work will be performed onsite.

The position must meet Export Control compliance requirements, therefore a “US Person” as defined by 22 C.F.R. § 120.15 is required. “US Person” includes US Citizen, lawful permanent resident, refugee, or asylee.

Basic Qualifications (Required Skills/Experience):

  • 3+ years of experience with managing and organizing multiple deliverables and deadlines with minimal direction

  • 5+ years of experience in a previous role where meticulous attention to detail, with emphasis on accuracy and quality was paramount

  • 5+ years of experience in the handling and the safeguarding of proprietary and confidential information

  • 5+ years of experience with Microsoft office suite

Preferred Qualifications (Desired Skills/Experience):

  • Associates degree or higher

  • 3+ years of experience providing administrative support to multiple executives

  • 3+ years of experience in heavy schedule management and/or travel planning

Typical Education & Experience:
Education/experience typically acquired through basic education (e.g. High School diploma/GED) and typically 7 or more years' related work experience or an equivalent combination of education and experience (e.g. vocational school/Associate+5 years' related work, Bachelor+2 years' related work, etc.).

Relocation:

Relocation assistance is not a negotiable benefit for this position. Candidates must live in the immediate area or relocate at their own expense.
